Position Summary:
The Initiative Associate position is an individual contributor role supporting key functional areas. Provides high level administrative support and/or leads areas of work, including budget processing and project management assistance towards execution of departmental activities. Prepares internal reporting and analysis. Provides support to teams and external stakeholders on content areas.
The position of Initiative Associate reports to the Associate Director, Hope SF. The team that makes up the Partnership for HOPE SF works closely with outside partner organizations, consultants, grantees, and funders.
The Initiative Associate will support marketing and communications, strategic planning and evaluation, grant making, and consultant management. The Initiative Associate works independently and with guidance from the Sr. Officer.
Boundaries
The Initiative Associate position furthers SFF’s mission by building and strengthening relationships within the four HOPE SF communities, HOPE SF CBOs, and the Mayor’s Office of Housing and Community Development in the furtherance of building strong communities within HOPE SF and promoting philanthropy through the HOPE SF Small Grants Program. The Initiative Associate partners with MOHCD to work towards the HOPE SF Initiative’s goals of building racially and economically inclusive neighborhoods, recognizing the power of residents to lead their communities, and increase economic and educational advancement for HOPE SF residents.
Authority
This position directly leads the HOPE SF Small Grants Program, including all management of Small Grants Program Committee meetings, directing workshops with community, and facilitating the extension of small grants to resident leaders. This position also partners closely with the Communications Team at MOHCD to contribute multiple articles to the quarterly HOPE SF newsletter and manages all HOPE SF social media pages. This position sits in the Place Team and is closely aligned with the Place values of anti-displacement and community wealth building. The team this role largely engages with is the HOPE SF and Communications teams at MOHCD, with minimal engagement with the Place team at SFF.
Role
- Ongoing relationship building with key partners at MOHCD, HOPE SF residents, community leaders, and CBOS.
- Contributes to narrative change around lived experience of HOPE SF residents and communities with the HOPE SF newsletter, social media, and HOPE SF website.
- Creates and leads impactful How to Apply Workshops with residents, breaking down the historically exclusionary grant-making process to be accessible to those approaching the space for the first time.
- Manages and leads the HOPE SF Small Grants Program, centering resident-led projects to fund resident-centered community development across all four HOPE SF communities.
- Leads a portfolio of grants (separate from the Small Grants Program) to provide funding for community-based organizations investing in the four HOPE SF communities.
- Supports the successful launch of the HOPE SF Community Investment Pilot through partnership with MOHCD and under direction of the HOPE SF Director/future Initiative Officer.
Tasks
Communications Coordination
- Coordinates the initiative-wide communications for HOPE SF. Work with professional writers as needed and co-produce stories through strong relationships with outside partners and residents.
- Develops and draft content for blogs and quarterly newsletters.
- Writes, reviews, and maintains HOPE SF website updates. Track website data analytics for continuous improvement.
- Leads the HOPE SF social media strategy—track news, stories, events, photos to maintain consistent presence on three-four social media platforms. Track public comments and data analytics for continuous improvement.
- Facilitates conversation to get ongoing input and feedback from across HOPE SF partners to improve communications. May include planning meetings, online learning and collaboration, and surveys of residents and partners.
Small Grants Program Management
- Continually learn and grow in how best to support residents entering the grant-making process for the first time.
- Builds relationships with and provides direct assistance and thought partnership for residents applying to the Small Grants Program.
- Manages Small Grants Program applications quarterly through Submittable.
- Coordinates and leads Small Grants Program Committee meetings, including application review, applicant interviews, and final funding decisions.
- Enters and manages SGP grants in Fluxx to move final funding quarterly.
- Conducts conversational grantee check ins to report on grantee success and challenges, collect photos from events as reporting required of grantees.
- Attends grantee events and workshops to build relationships and offer support to project leaders.
- Conducts annual data analysis of Small Grants Program grantees to report on program impact.
Fundraising Support
- Drafts narrative and other content grant applications and progress reports. Support the overall proposal writing and progress reporting process (includes drafting narrative and financial information, compiling supporting information, and record keeping and compliance with internal processes and policies).
- Works with HOPE SF grantees to track data, milestones, and accomplishments to inform current and potential funders of progress and lessons learned.
Coordination of Convenings, Events, and Presentations
- Helps design and manage the coordination of regular presentations and discussions to provide reflection, learning and community building opportunities for HOPE SF partners.
Grantmaking Support
- Coordinates some Request for Proposals (RFP), grants, and contracts, and manages grantee relationships.
- Reviews grantee progress reports. Track and document data and progress associated with the grants.
Competencies & Qualifications
- 2 to 4 years of increasingly responsible professional experience in the non-profit, philanthropic, or public sector. A successful and positive track record working in culturally and ethnically diverse communities.
- The ideal candidate will have any combination of mid-level experience with project management, fundraising, marketing, communications, relationship building, and data analysis.
- Excellent facilitation, listening, oral and written communications skills.
- Ability to effectively manage multiple priorities and projects simultaneously. Strong active listening, oral, and written communication skills, and the ability to work collaboratively in and across teams;
- Deep understanding of the Bay Area, its history, and the realities of the region’s residents - through intellectual, professional, and lived experience – particularly with a clear racial equity lens.
- Demonstrated abilities to build successful relationships with local leaders and organizations; engage people from diverse backgrounds; and synthesize and articulate (orally and in writing) a wide breadth of information to internal and external stakeholders.
- Committed to building resilient organizations and providing technical assistance.
- Computer literacy in the Microsoft environment, including Outlook, Word, Excel, and PowerPoint is required.
- Attention to design and an ability to create basic graphics information, such as PowerPoint presentations, infographics, handout material.
- Intermediate to advanced computer/software skills, including Microsoft 365 (Outlook, Word, PowerPoint, Excel, & Teams) and Zoom.
- Ability to learn, navigate and manage online platforms, including Fluxx, Qlik sense, Smartsheet, Salesforce, Blackbaud, and Power Plan
